Our service invoice template is designed in two different formats (portrait and landscape) and capable of changing colour by making simple selection in the drop down menu. The download contains two different service invoice templates, each of which has its own intended purpose.
Creating a Custom Invoice Template: Once you've customized your invoice with a company name, address and company registration and bank details (compulsory for some countries), save the file as a template (.xlt), that will appear in the list of available templates and will be saved in the default location on your computer that in most cases is C:\Documents and Settings\[your user]\Application Data\Microsoft\Templates.
Preparing and sending your invoice: When you are ready to send your invoice, the best and probably the easiest would be to convert in to a PDF file (would require help of additional software like Adobe® Acrobat or similar) and then simply send your PDF invoice by e-mail to your customer. Using this Service Invoice Template
All values placed in square brackets must be replaced with values relevant to your company or customer.
- Company Name, Logo and Slogan - Insert your companies logo then replace the values in brackets with your company name and slogan. Remember that replacing the value of cell with [Your Company Name] will automatically replace value of the cell containing "Make all cheques payable to [Your Company Name]".
- Salesperson - enter a name of the person who's responsible for handling invoices and who's name will also appear as a contact person at the bottom of the invoice. (Eg. Sales Manager).
- Bank Account and Company Registration Details - In some countries it is required to provide company and tax registration numbers, but if it isn't required in yours, then simply delete this block.
- Cheque Payments - this field is automated and will therefore be changed automatically once you replace the value of the cell with your companies name however if the cheque should be issued to any other name than your companies, you can manually override the formula in this field.
Sending the Invoice to a Customer
The fastest way to send this invoice to a client is sending it via e-mail, but it may not be very secure since your file may contain information that should not be disclosed to others, like a list of your customers for instance, therefore the recommended way is converting it to PDF first and then e-mailing a PDF invoice instead. Although it may require additional software like Adobe® Acrobat which works as a virtual printer that prints directly to a PDF.
